I have experienced an out-of-stock situation when I was buying a box of breakfast cereal in a convenient store.
It was the first time that kind of breakfast cereal has out of stock, and it is the only brand I would choose to. So I asked about it to the retailer why it was stock out. Was the production stopped or the supplier did not deliver goods on time, or they did not manage their inventory well? The shop assistant’s attitude towards its situation was satisfactory because he tried to communicate with me and wanted to remedy this situation.
Firstly, I was notified some reasons for the stock-out. Secondly, he told me the expected arriving time for the good. Finally, he suggested an alternative to this type of breakfast cereal which have the similar taste and also had a discount on it. The recovery was agreeable and satisfactory in this circumstance. If there was no remedy action, or there was no one trying to explain, I would lose confidence in this convenient store and I would choose another store instead because I may not able to find the right product.
If I was the business owner, in order to prevent the stock-out situation, the most significant thing need to do is to find out why this situation happened. There are two major causes lead to the stock out: supplier or distribution center delayed the shipment, and the staff did not move the product onto shelves in time. These two causes mainly showed the stock-out at three places, goods shelves, warehouse and the inventory system.
From one side, to internal control the business in a cost-effective way. First of all, we should manage our people to work efficiently. Staffs need to be sensitive with the goods. That is to say, which one sold quickly or nearly out-of-stock, so which kind of goods needs to be move onto shelves on time. Then, to establish a system of information network is also a must in internal control to lower the cost. Last but not the least, it is better for the business to have a regular inspection to discover some defect in inventory management and formulate a better strategy to improve the customer loyalty. For example, make it once a month for the shop inspection.
From the other side, to control externally, a cost-efficient way is to contact with supplier timely and regularly to manage the stock-out condition. Letting suppliers know our inventory situation timely so that they can arrange the shipment timely. There is another useful method to reduce the cost is to keep the inventory as less as possible in the warehouse, therefore, the expenditure on rent and warehouse keeper can be cut off.
Basically, when the situation happened, I will utilize the combination way with internal and external control to remedy the out-of-stock, and make it cost-effectively. The first one is to increase the staff sensitivity on the inventory, use the network system for them to avoid the unexpected situation. The other one is to reduce the inventory, once the products on the shelves are not sufficient, staff will inform the supplier to deliver goods. In case the stock-out occurred, staff should inform the supplier to deliver the goods immediately, then explain the reason and tell customer the time of goods arrival in order to remain the customer.
